Your appointment checklist
To help you get ready for your appointment.
Step 1: Speed
Our terms of business (including complaints procedure and data protection policy) apply to appointments Company Notary has with you. A copy of our terms is available on this website or in hard copy on request. Our email footer also includes the link to the terms of business and privacy policy. For regular corporate clients, we may also have a Framework SLA agreement in place.
Different countries have different legalisation requirements (which can also vary depending on the documentation). This could be FCO Apostille, or it may be legalisation (involving FCO, Chamber of Commerce and/or Embassy). Legalisation impacts logistics, timeframes and cost. Please contact us as early to discuss.
We also need to understand your document or project timescales and any constraints. It can impact legalisation and document forwarding.
2: Translations
An English translation will need to accompany any foreign version document unless the signatory can confirm they are a fluent speaker in the foreign language. We can arrange this for you if requested.
3: Documentation
- A copy of the documentation to be notarised and/or legalised, plus any instructions from the person who prepared it.
- Full name, position / role and address of the person signing.
4: Signing - ID
- Valid Photo ID (passport or driving licence).
- A recent utility or council tax bill or bank statement (less than 3 months’ old) showing residential address.
- If signing with a different name, evidence (such as marriage certificate).
- If signing under a Power of Attorney, the original or certified copy of that too.
5: Company information
- Name of company, registered address and registration number.
- Proof of your authority to sign for the Company or organisation.
- If possible, signed copy of the minute authorising the documentation to be signed.
- Last annual return filing if a foreign company.
- Articles and Memorandum of Association (or equivalent constitution)
- Certificate of Incorporation.
